Thank
you for your interest in sponsoring a jazz event. The Stafford Jazz Society
welcomes your support and is grateful for your generosity. This document
sets out important guidelines and conditions which we would ask you to
read carefully before finally making up your mind to go ahead. Its purpose
is to create the right framework for a successful event and to protect
the interests of the Society, the Performers and the Sponsor. Your signed
agreement to this document is a necessary pre-requisite to the Society's
acceptance of your kind offer.

1. THE BAND/MUSICIANS 1.1. The Executive Committee will listen sympathetically to your choice of performers for the event. Whilst it is not anticipated that this will cause a problem, the final decision on band/musician selection must remain with the Committee. 2. BOOKING PERFORMERS 2.1. Once financial parameters have been set, it is essential that all contact with the intended performers shall be by an official representative of The Stafford Jazz Society. 2.2. Booking procedures shall be strictly those which are used by the Society and which require a signed and exchanged Booking Agreement between the Performer/s and the Society before the booking shall be deemed confirmed. 2.3. In addition to Band and/or Musician fees, the Sponsor shall make clear if any additional costs such as travel expenses and overnight accommodation are to be included as part of the sponsorship package. 3. PERFORMANCE RECORDINGS 3.1. Sponsors must NOT make independent provision for the recording of their sponsored events either for personal or commercial use. 3.2. Events can be recorded only when full and written agreement has been reached with the Performers following full protection of their legal and financial rights and interests. |
4. EVENT MANAGEMENT 4.1. Whilst the Society will discuss and hopefully agree all aspects of the staging of the event with the Sponsor, the final responsibility for the event and the decisions taken to manage it must remain with the Society, since it will be advertised and clearly perceived as a Stafford Jazz Society event. 4.2. The sponsor will make clear if the event is intended primarily as a corporate night out for business friends and associates or primarily for The Stafford Jazz Society members and followers. 4.3. The existing segregated smoking policy that applies to Stafford Jazz Society venues is non-negotiable. 4.4. The Sponsor will make clear if room hire and technician costs are to be part of the sponsorship package. 4.5. The Sponsor will make clear to what extent the marketing of the event should carry reference/s to the source of the sponsorship. 4.6. The Sponsor will make clear any intentions/wishes with regard to raffle income at the event - such as donation to The Stafford Jazz Society or to a particular charitable cause or organisation. 4.7. The Sponsor will receive 6 complimentary tickets for the event. Further tickets will be upon application to, and at the discretion of, the Committee.
